This guide provides a step-by-step process for how to setup Microsoft MFA for Office applications provided to you on our RDP servers. This is being setup as Microsoft is pushing out an update to mandate MFA for all licensed Office users and we want to make this process as painless as possible for you!
We recommend setting up MFA at your earliest convenience but you will have up until March 5th at the latest to postpone and skip this setup at which time Microsoft will begin enforcing it to be setup.
Getting Logged In
To begin, login to your group's hosted server as usual and open Google Chrome or Microsoft Edge, which should already be installed on your server.
Browse to Office.com and attempt to sign-in, your username will be the same username you use to login to the server (usually <first initial><last name>) and the domain will be your group name with lbmx.com following that.
Example: jdoe@group.lbmx.com
This may differ if your group requested a different username format than the default stated above such as <firstname>.<lastname>
Example: jane.doe@group.lbmx.com
Your password should be synced to the password you use to login to the RDP server but if it is not, please submit a request to support@LBMX.com and we can address any password reset requests you have!
Setting MFA Up
1. Once logging into the site, you should see a prompt to add additional information:
2. Once you click next, you'll be met with 2 options: Next (this will lead you to setup MFA) and Skip Setup.
NOTE: Skipping the setup will postpone this setup until March 5th as mentioned above. To continue with setup, click next.
3. Upon clicking Next, follow the prompts on each following screen to successfully setup the Microsoft Authenticator and add a phone number as a backup option.
To do so, you'll need to download and install Microsoft Authenticator application on your smartphone and select the "Add Work or School Account" option.
4. Select the "Scan QR code" option to make setup as easy as possible:
5. Once you have downloaded the app and are ready to add your account, click Next.
6. Scan the QR code shown, this will add the account to your application and click Next:
7. This will prompt the application to send a test authentication, which will ask you to enter the numbers shown on your server's screen into the mobile application:
8. If successful, this screen will show up.
9. As a backup option Microsoft will also ask you to add your phone number just in case you lose access to your authenticator application, please enter this now:
10. After entering your phone number and clicking Next, Microsoft will send a text message with a 6-digit code in it to ensure you have access to the phone number entered:
NOTE: LBMX DOES NOT HAVE ACCESS TO THIS MFA INFORMATION AND WILL NOT BE ABLE TO ACCESS THE PHONE NUMBER USED FOR THIS PROCESS AS ONLY MICROSOFT WILL STORE THIS PHONE NUMBER FOR AUTHENTICATION PURPOSES.
11. Once you've confirmed your phone number, you will be met with a successful connection screen:
12. Click next and your setup will be complete!
13. If this is your first time logging into an Office application, you will be met with a screen asking you to register the device with your account, please click OK to prevent Windows from asking you for your MFA prompts as much in the future:
14. Once it has completed registering, it will show the following screen and you'll be all set!
